Custom Software vs. Off-the-Shelf: A Decision Framework
This decision doesn't depend on user count — it depends on how different your process is from the industry standard.
“Should we buy off-the-shelf software or build custom” is one of the most frequent technical decisions businesses face. The right answer depends on a simple framework, not just budget.
When off-the-shelf is enough
If your process resembles the industry standard — accounting, general project management, email marketing — off-the-shelf software is usually faster and cheaper.
When custom is justified
- When that non-standard process is your actual competitive advantage
- When off-the-shelf software forces you to bend your workflow to it, rather than the other way around
- When data volume or user count is large enough that licensing costs exceed the cost of building custom
The middle path: customize on top of a platform
Sometimes the best approach is using an existing platform as infrastructure and adding a custom layer on top — a combination that’s cheaper and more flexible than building everything from scratch.
